Who we are
Hot Tub Helpline is operated by Bradley Construction Group, Inc.
Information we collect
Contact details, ZIP code, equipment details, problem descriptions, photos you upload or email to us, booking and payment status, call audio recordings, transcripts, snapshots and call chat, and basic analytics. Appointments and payments are handled by Square; we never see or store your full card number.
How we handle call audio, transcripts, snapshots and chat is explained under “Call recordings & AI-assisted summaries” below.
Service providers
We use these service providers to run our service. They process your information on our behalf and under their own privacy policies:
- Square: appointment scheduling, booking and payment processing.
- Cloudflare: website hosting and forms; our video call infrastructure (Cloudflare Realtime); storage of call audio recordings, transcripts and snapshots (Cloudflare R2); and AI transcription and call summaries (Cloudflare Workers AI).
- Resend: delivery of transactional emails, such as your call link and join code, reminders and follow-ups.
- Google Workspace: business email.
- Google Ads: measuring which of our ads lead to bookings (see “Ad measurement” below).
Call recordings & AI-assisted summaries
The audio of our video calls (your voice and the tech's) is recorded and transcribed. We don't record the video itself. During the call, our tech may save still photos (snapshots) from your camera, for example of a model label or part. Photos, files and messages you send in the call chat are saved with the call. Transcripts are created automatically with AI speech-to-text, and we use AI to draft a short summary of each call for our team, using Cloudflare Workers AI; our team reviews it before acting on it. We use recordings, transcripts, snapshots, chat and summaries to provide support and follow up with next steps or a parts quote, for quality and training, and to improve our service. You'll be told before a recorded call starts, and joining it means you agree. We keep audio recordings, transcripts, snapshots and chat private, don't sell them, and delete them within 12 months or sooner if you ask.
How we use it
To provide video calls, match you with contractors (only with your consent), fulfil part requests, send booking confirmations and service messages, and improve our service.
Sharing with contractors
If you submit a Find a Pro request and agree to share it, we send your name, contact info, ZIP code, equipment details, photos and problem description to up to 2 independent contractors who serve your area. We share it only with your consent and only for that request. Contractors may pay us a fee to be part of our network or to receive requests. Once shared, each contractor handles your information under its own privacy practices. We don't sell your information to anyone else.
Email & text messages
When you book, we email your video call link and a join code (you can also enter the code at hottubhelpline.com/join) right after booking. When you book or submit a request, you agree that we may contact you by email about that request, including booking confirmations, your video call link and join code, reminders, quotes and a short follow-up after your call. After a completed call, we also share your name and email address with Trustpilot so it can invite you to review our service; you can ignore that invitation or opt out using the link in Trustpilot's email. Email is how we send call links. If we offer texts and you give us a mobile number, we may also text you service messages about your booking, such as your call link or a reminder. We don't send marketing texts unless you separately opt in. Message frequency varies, and message and data rates may apply. Reply STOP to any text to stop receiving them, or HELP for help. You can unsubscribe from marketing emails using the link in any email. Consent to texts is not a condition of purchase.
Ad measurement
If you reach our site from one of our Google ads, the link carries a Google click ID (gclid, gbraid or wbraid). We keep it in your browser for up to 90 days. If you then book a call, we keep the click ID with a scrambled (hashed) copy of your email address for up to 90 days so we can match it to your booking, and we share the click ID, booking time and call price with Google to see which ads lead to paid bookings. We don't give Google your name, email, phone number or call details for this, and we don't use it for remarketing. If your browser sends a Global Privacy Control signal, we skip all of this. If we turn on Google's ad tag on our site, it may set Google cookies for the same purpose and also skips browsers that send that signal.
Your choices & rights
You can ask us to tell you what personal information we have about you, correct it, or delete it, and we'll respond within 45 days. To make a request, email [email protected] from the email address you used with us, or write to PO Box 1031, Patchogue, NY 11772. We may need to confirm your identity first. We may keep some records when the law requires it, such as payment and tax records. We don't sell your personal information, and we won't treat you differently for using these rights. Residents of California and some other states may have additional rights under their state's law, and we'll honor them.
